After you have added a Form, you can work with it the way you work with other items. For example, you can delete, rename, copy, reserve, or move it; make a shortcut to it; make it a News item; set notification; view its properties; or add it to your Favorites page. In addition, you can create Versions of the Form. For more information about working with Content Server items, see
You can view the following Form information, which you can change if you have Administer permission for the Form:
Current Version – The number of the most recent Version of the Form, and how many Versions are currently available.
Max. Versions – The maximum number of Versions that Content Server stores of this Form at any given time. When the maximum number of Versions is reached and a user adds another one, Content Server automatically deletes the oldest Version.
Template – The name of the Form Template that determines the Form's layout
Custom View – The custom views, if any, associated with this Form
Revision Mechanism – What happens when you click the button on the Form that passes data to Content Server. A revision mechanism provides interim storage that allows Content Server to display the Form with the previously saved data when you next open it.
Submission Mechanism – What happens when you click the Form's Functions icon and choose Submit. A submission mechanism submits the final set of Form data. When you next open the Form, Content Server has reset it to its original state.
Workflow Map – (only with Initiate Workflow submission mechanism) The name of the Workflow Map that Content Server initiates when you submit the Form
Stationery Pad – Indicates whether the Form is a Stationery Pad. For more information about working with a Stationery Pad, see Defining a Stationery Pad.
After you add a Form, you have the option to modify it. When you edit a Form, it opens in the editor associated with it. For example, if you edit a PDF Form, the Form opens in Adobe Acrobat.
For more information about the optional PDF Forms module, see
If you only have See permission for the Form, you cannot change the Form. Editing a Form requires the Use “...” Revision Mechanism permission for the Form if it has a revision mechanism, and the Use “...” Submission Mechanism permission otherwise. For more information about permissions, see Understanding Form Template and Form Permissions.
If you delete a Form, Content Server deletes its revisable data (if present) but does not automatically delete the Form's submitted data. Whether you can still access submitted data after deleting the Form depends on where the Form's submission mechanism stores the data. For example, you can directly access Form data that was submitted to an SQL table by issuing SQL commands to the database, but you cannot access Form data that was stored in a Workflow Map's work package after you delete the Form.
